This position prepares, maintains and updates a variety of records, including microfilm, files, card indexes and correspondence both manually and electronically; books inspections through the permit plan and a manual system; provides information concerning departmental rules and regulations to the public at front counter or over the telephone, and directs calls and visitors. Additionally, the incumbent opens, sorts, classifies and routes mail; records small cash transactions; sorts, files drawings and permits and prepares them for microfilming; receives and checks a variety of material for accuracy and completeness; provides archived information retained on microfiche to the public at the counter, subject to departmental rules for confidentiality; performs general office duties such as typing basic correspondence and reports, faxing and photocopying and assists in reference, use and disposal activities of the Records Centre. This position also performs related duties as required.

Job Requirements:

Qualifications include high school graduation supplemented by or including standard commercial courses, and some experience in general office and clerical work or an equivalent combination of training and experience. Demonstrates skill in typing rapidly and accurately. Sound knowledge of office practices and procedures relative to filing and indexing methods and records management is needed along with the ability to make minor decisions in accordance with laws and regulations, and departmental policies and procedures. Skill and ability in the use of related software is needed as is the ability to establish and maintain effective working relationships with internal and external contacts. Some knowledge of construction terminology and methods is considered an asset.
